All students planning an event or activity connected to the HHSP community are asked to follow the BHSS's general event guidelines:
Fill the EOHSS form and book spaces at least 2 weeks in advance, file reimbursement requests within 4 weeks of purchase, follow McMaster's event policies, ensure accessible options are considered, notify us of any risks in advance.
Enter the code issued to your BAG or committee this year. This tells us which group your submissions belong to.
Want to plan an event for your group? Here's everything you need to plan an event with the BHSS — risk management, room bookings, reimbursements, and accessibility guidelines. Please ensure that all information you provide is accurate and complete. Incomplete submissions may be delayed or rejected.
If you submit a form on behalf of a BHSS-Affiliated Group or Committee, you must ping Logistics and Elections on the BHSS Discord to confirm that your submission has been received.

In order to run any event affiliated with McMaster University, you must first submit your event for approval by Environmental & Occupational Health Support Services (EOHSS). As a BHSS-Affiliated Group, the BHSS will submit this form on your behalf. You should fill in this form for ANY event you are hosting, including low-risk events (e.g., official club meetings) and events off-campus.
Request a space on campus for your event. You may be responsible for booking your own space for events. In order to ensure that you receive approval and have enough time to book a room on campus, we recommend starting this process at least 10 business days in advance of your planned date.
Request storage space for BAG or committee materials. Only available to signed-in BAGs and committees.
Submit a cheque reimbursement request for approved event expenses, with receipts attached.
Ask Communications to create and post media on @macbhss — posters, announcements, hiring and more. Only available to signed-in BAGs and committees. Submit at least 14 days before your post date.
Have your post collabed on @macbhss for a set time to reach the whole program. Only available to signed-in BAGs and committees.
How to properly use the BHSS name, logo, and brand assets for your event or materials.
Check EDI's guidelines to make your event accessible and safe for all attendees.

Everything to consider when planning an accessible, safe, and successful event with the BHSS.
[Placeholder] Start planning early — most approvals (room bookings, EOHSS review) take at least two weeks. Consider the size of your event, the space required, and any equipment or vendors involved.
[Placeholder] Choose accessible venues wherever possible, and consider:
[Placeholder] Identify potential risks ahead of time and outline them in your EOHSS submission — this includes physical activity, food handling, off-campus travel, and large crowds.
Reach out through the Contact page if you're unsure whether your event needs additional approval.
How to properly represent the BHSS name, logo, and brand when planning an event or making materials.
[Placeholder] Always refer to the society by its full name ("Bachelor of Health Sciences Society" or "BHSS") on official materials. Only BAGs and committees in good standing may describe an event as "BHSS-affiliated" or "in partnership with the BHSS."
[Placeholder] Use only the official BHSS logo files provided by the Communications Committee — don't recreate, recolour, or distort the logo. Maintain clear space around it and avoid placing it on busy backgrounds.
[Placeholder] Any posters, merchandise, or social media posts that use the BHSS name or logo and are intended for distribution outside your group should be reviewed by the Communications Committee before publishing.
Reach out to the Communications Committee through the Contact page for logo files or brand approval.
